VENUE SELECTION: BEGINNING YOUR PLANNING JOURNEY
One of the very first milestones in planning your wedding is choosing a venue. For many couples, it's one of the first moments post-engagement when everything starts to feel real. You’ll finally have a date to anticipate, a place to envision your day, and the excitement of bringing your wedding dreams to life.
It’s one of the top financial and logistical decisions you'll make, so it’s important to take your time.
As Minneapolis-based luxury wedding planners, we've seen countless couples fall in love with a venue before taking the time to understand how that decision will influence the rest of their wedding. And don’t get us wrong, it’s completely understandable! The architecture is stunning, the grounds are breathtaking, and you simply can’t stop yourself from picturing the reception of your dreams unfolding in front of you.
However, a beautiful backdrop isn’t all your venue is. Your venue choice determines your budget, your design possibilities, your vendor team, your timeline, your guest experience, and even the overall atmosphere of your wedding day. In many ways, every decision that follows is built around the venue you choose.

THE VENUE IS YOUR BUDGET’S FOUNDATION
When couples begin wedding planning, they often start with a number in mind, and then visit a venue they absolutely fall in love with.
It's easy to think, "We'll make the rest of the budget work."
Unfortunately, that's where many weddings begin to exceed their intended budget.
More than the rental cost of the space, the true investment often includes catering minimums, bar packages, service fees, rentals, taxes, gratuities, lighting, transportation, security, insurance requirements, parking, staffing, and additional production costs. A venue that appears to fit comfortably within your budget may ultimately require significantly more investment than anticipated.
Rather than asking, "Can we afford this venue?" instead ask:
"Will this venue allow us to create the complete wedding experience we envision?"
Your photography, entertainment, floral design, stationery, guest experience, and overall celebration choices also deserve thoughtful budget allowance! Successful weddings ensure every investment works together, not because one category consumes the majority of the budget.

COMPARE WHAT’S INCLUDED, NOT JUST THE COST
Venue pricing can be surprisingly inconsistent. Some venues include furnishings, tables, chairs, ceremony setup, bridal suites, and cleanup. Others provide little more than the space itself. At first glance, they appear equal. In reality, one could require thousands of dollars in additional rentals. Before comparing venue prices, always request a detailed list of exactly what's included.
Start by asking questions like:
What furnishings and rentals are included, is there a cost, and do they meet your expectations?
Are there multiple location options for ceremony, cocktail hour, dinner, and dancing?
Is setup/teardown/clean-up provided?
Are there dedicated getting-ready spaces and what is the cost to access them in the morning?
Is there an on-site venue coordinator?
What is the overall rental period and are there overtime fees?
What additional fees should we anticipate?
A venue with a higher rental fee may ultimately be the more cost-effective choice if it includes services and amenities that would otherwise need to be rented separately. Banquet chairs may be included, but if they don’t meet your expectations, the thousands of dollars to rent chairs should be considered. Likewise, the dedicated getting-ready space might be gorgeous, but if the cost to use it is an additional $250 per hour to get in that morning, it might not be worth it.

EVERY VENUE COMES WITH RULES
Many venues can be special sites like historic buildings, museums, wineries, public spaces, country clubs, or private estates; each with its own set of policies. Some common restrictions include:
Limited vendor access hours (often until after business close)
Restrictions on hanging installations
No open flames
Preferred or exclusive caterers
Sound ordinances or limits on subwoofers
Required security
Mandatory insurance
Limited rehearsal availability
Early event end times
None of these are necessarily negatives, but the important thing is understanding them before signing the contract - not six months later when you're finalizing your floral design or entertainment, and suddenly realize it’s not possible to do what you want. An experienced wedding planner or coordinator will help identify these limitations early so your design vision remains realistic from the beginning.

CONSIDER HOW THE VENUE ACCOMMODATES YOUR VENDORS
One thing experienced wedding planners notice immediately during a venue tour is how easily the event can be executed in the space. Couples naturally focus on aesthetics (after all, it’s the most fun part!), but planners focus on logistics. You need to consider how everything is orchestrated behind the scenes.
Depending on your wedding design, some helpful topics to address are:
Where do vendors load-in to the space? Is there a loading dock and freight elevator and do vendors need to be scheduled a load-in window due to limited space?
Will a rental company need additional labor because of stairs or long walking distances?
Is there enough time allotted for setup? How about a ceremony-to-reception room flip? Do they supply staff to assist and will they set rentals, such as chairs, or will they only handle their items?
Can a florist easily install suspended floral arrangements? Is there a lift on-site to assist with this, or does one need to be rented?
Can the entertainment company access power where it's needed? If you have a band, do they have multiple circuits where the band will be placed to accommodate the necessary electrical load?
Will photographers have beautiful natural light throughout the day? If it is raining, are there indoor spaces that would serve as a beautiful photo backdrop?
Can catering efficiently serve every guest? How large is the kitchen?
Is there storage for floral boxes, rental crates, and musician cases? You don’t want band cases piled in the corner just because there's nowhere else to put them.
Does the venue charge a catering fee or mark-up rentals brought into their space?
Questions such as these will assist in ensuring that vendors can successfully deliver for your wedding.

THINK ABOUT VENDOR SELECTION FLEXIBILITY
Some venues maintain preferred vendor lists, while others require couples to work exclusively with in-house caterers or approved professionals. Preferred vendors can provide absolutely exceptional service, but it's important to understand whether these requirements align with your priorities, design style, and investment level.
Questions worth asking include:
Can we select our own vendors?
Are there fees, mark-ups, or restrictions placed on outside vendors?
Are catering, bar service, or rentals exclusive?
Are there minimum spending requirements?
Are in-house bar programs flexible? Do they allow for, and are there extra charges for, butler passing of drinks and wine pours at dinner? Does what they allow meet the expectations you have for your wedding?
Asking about these policies upfront helps avoid surprises later in the planning process. Vendors matter a lot, so make sure you’re fully comfortable with your choice (whether venue-required or not) so you don’t feel pressured one way or the other.

STRIVE TO ELEVATE YOUR GUEST EXPERIENCE
While aesthetics matter, the guest experience should never be overlooked. Think beyond the photo potential or beautiful décor. Is parking convenient? Is the venue accepting of all guests? Is there adequate climate control? Will elderly or disabled guests have proper accessibility and accommodation? If the venue has an outdoor space you intend to use, is there an adequate backup rain plan? We always tell our couples to prioritize guest experience, and venues that provide the best guest experience become the weddings people remember for years to come!

THE BEST VENUE IS ONE THAT SUPPORTS YOUR VISION
One obvious consideration that is somehow often missed is how much the venue itself influences the final design. While florals, linens, and décor can transform a space, they should enhance the venue's existing architecture, not fight against it. Just as you likely wouldn't choose a rustic barn for a black-tie ballroom-inspired celebration, it's important to consider the venue's "bones" when deciding on a venue. Pay attention to elements that can't easily be changed, such as ceiling height, architectural style, wall colors, flooring, carpeting, lighting, and even the window placement. These foundational details set the tone for the entire event and will have a significant impact on how your design photographs and feels. Selecting a venue whose natural character aligns with your desired aesthetic allows every design decision to feel intentional, cohesive, and effortlessly beautiful, rather than forcing décor to overcome a space that was never the right fit in the first place.
A stunning room doesn't automatically produce a stunning wedding; sometimes the venue with dramatic architecture will leave very little flexibility for personalization, while other times an understated venue transforms into an extraordinary celebration simply because it offers endless design possibilities. Rather than asking which venue is the most beautiful, ask which venue gives you the greatest opportunity to create the wedding you've always imagined.
