how to choose the right bar package for your wedding

At Style-Architects Weddings, we’ve had decades of experience in all things wedding planning, which includes finding the perfect bar service! Signature cocktails and Champagne toasts may get all the attention, but when it comes to your bar setup, the right package can make or break your guest experience and your budget. Whether you’re wanting a tasteful selection of curated wines or a high-energy party with cocktails flowing all night, understanding your options can help you make the best decision for your day.

Two of the most common (and most important) options you'll encounter are the consumption bar and the bar package. Each has its advantages, depending on your guest list, event style, and how much predictability you want in your final invoice. Let’s break them down:

consumption bar

A consumption bar operates on a pay-per-drink model. At the end of the night, you're billed based on the actual number of drinks consumed. This can be a great fit if your guest list includes light drinkers or if you're planning a shorter reception. It's flexible, and in some cases, cost-effective, but keep in mind it can also be unpredictable. If your crowd leans festive, your final total could surprise you.

bar package

A bar package offers a flat per-person fee for unlimited drinks over a set number of hours. This model of an open bar is ideal if you’re expecting your guests to fully embrace the party and all the alcoholic options that come with it! It provides valuable peace of mind when budgeting; no tallying drinks, and no unexpected surprises when it comes to the final bill.

things to consider

Guest Demographics: Are your guests more rosé-and-a-toast types or martinis-all-night? Age range, cultural norms, and personal habits can all influence what bar service makes the most sense. An open bar package may likely be more cost-effective if you’re expecting several drinks per guest.

Event Duration: A longer reception almost always means more drinks. If you're planning a five- or six-hour affair, a flat-fee package could make more financial sense.

Budget Clarity: If having a firm handle on your numbers is a top priority, the predictability of a bar package is incredibly helpful.

Venue Rules: Some venues only offer one option, which makes this an important consideration when selecting your venue. Always clarify what's available before finalizing your decision, and if the type of bar service you receive is important to you, seriously think whether your venue choice is worth potential additional stress.

estimated consumption

A helpful rule of thumb: guests typically enjoy 1.5 to 2 drinks during the first hour, followed by about one drink per hour thereafter. For a five-hour reception, that averages out to around seven drinks per guest. If your venue charges $7 per beer and $10 per cocktail, that could total $50–$70 per person. In comparison, many bar packages range from $45–$65 per guest depending on the tier selections and number of hours. Running the numbers based on your guest count and venue pricing can help clarify the most cost-effective option.

a note on style

Remember: the type of bar you choose doesn’t have to sacrifice style. You don’t need to overlook your wedding design and decor! From custom bar fronts and monogrammed napkins to signature drinks and gorgeous glassware, your bar can be as thoughtfully designed as the rest of your event. Ask your venue what decor options they potentially offer, as well as rental vendors.
